TL;DR
What did u/TableSad825 use Make for?
A team built three Make.com scenarios: approved purchase orders in Monday.com become Xero POs and bills, client invoices are created in Xero and emailed, and uploaded supplier PDFs get attached to the matching bill. All three scenarios are running in production with no manual entry in Xero, and nobody needs to open Make.com when something fails. A commenter did the same with Zapier.
What they did
When a purchase order is approved in Monday.com, a Make scenario creates it in Xero with all line items, downloads the PDF and creates the matching bill. Invoice details kept in Monday.com become a Xero invoice that is attached back and emailed to the client. When staff upload a supplier PDF, the scenario finds the bill by PO reference and attaches it. Failures add a comment to the Monday item.
How it went

Worth knowing
- It depends on keeping clean, consistent fields such as PO references in Monday.com. They were still building a fourth scenario to update Monday when Xero marks a bill paid.
- Price check: Make: free plan; Core: US$10.59/month, or US$9/month on a yearly plan (US$108/year) (checked Oct 26, 2026).

I use Monday.com and Xero. Plan a Make.com scenario, step by step in plain English, that runs when an item's status changes to 'Approved': create a Xero purchase order with the line items from the item's subitems, save the PDF back to the item, and create a draft bill. Tell me which Monday columns I need and how to flag the item with a comment if any step fails.
