TL;DR

What did u/Either-Nerve116 use n8n for?

For a client buried in leads, support requests and invoices, a builder made an n8n workflow that labels and prioritizes Gmail, drafts replies using a knowledge base, and flags anything sensitive for a person. They say the most important rule is that "the AI never sends emails automatically"; the client reviews every draft before sending.

What they did

The workflow reads new Gmail messages, categorizes and prioritizes them, adds labels, and checks the thread for context. When it's safe, it drafts a reply using knowledge-base context from Pinecone and meeting availability from Google Calendar. Sensitive, urgent or unclear emails are escalated for manual review, and a Telegram message goes out when a draft or review is waiting. Processed emails are tracked so nothing is handled twice. The workflow is shared as a public GitHub gist.

How it went

They say the most important rule is that "the AI never sends emails automatically"; the client reviews every draft before sending.

Worth knowing

  • A commenter pointed out that a single 'processed' flag can block a rejected draft from being retried, and the builder said they would split it into separate states. Handling low-confidence replies is still an open question in the post.
  • Price check: n8n: no free plan; Starter: US$24/month, or US$20/month on a yearly plan (US$240/year) (checked Oct 26, 2026).

Try it yourself

Paste this into a chatbot, then add your own details underneath.

Sort this email into one of: lead, support request, client update, invoice, newsletter, internal. Rate urgency 1 to 3. If it's a routine support question answered in the notes below, draft a reply. If it's sensitive, angry or unclear, don't draft; explain why it needs a person.
