Meetings & Notes hacks

TL;DR

What did Jim Chetwode (Okapi & Co) use Claude for?

A digital marketing agency owner gave Claude access to Gmail and Google Calendar and has it build a live dashboard at 8am and 2pm that ranks emails by urgency and finds meetings they agreed to by email but never put in the diary. They know which emails to answer and in what order, and they call the missing-meeting check "absolute genius for someone like me".

What they did

They connected Claude to Gmail and Google Calendar and set up an artifact that runs at 8:00 in the morning and 2:00 in the afternoon. It sorts emails by how quickly they need a reply, including a 'this is going to cost you money if you don't answer' group, and checks whether each one has a matching meeting. Because they describe themselves as slightly disorganized, they also ask it to look for meetings they've agreed to in email that aren't in the calendar yet.

How it went

They know which emails to answer and in what order, and they call the missing-meeting check "absolute genius for someone like me".

Worth knowing

  • It needs Claude to have access to your email and calendar. The video is a short overview of three ideas, not a setup guide.
  • Price check: Claude: free plan; Pro: US$20/month, or US$17/month on a yearly plan (US$200/year) (checked Nov 1, 2026).

Try it yourself

Look through my unread emails from the last two days and my calendar for the next two weeks. Sort the emails into: reply today, reply this week, and can wait, and flag any that could cost me money if I don't answer. Then list any meetings I seem to have agreed to by email that aren't on my calendar yet, with the email they came from.
