TL;DR

What did Therapy Designs use ChatGPT for?

When a buyer is angry, wants to cancel against policy or threatens a one-star review, an Etsy seller pastes the whole conversation into ChatGPT and asks for an empathetic but firm reply that follows shop policy. They say every customer gets the same calm tone whatever kind of day they're having. In the dispute shown, they chose to refund before shipping; the buyer became polite and bought another lamp. "I do have Chat GPT help me with all of my customer service now."

What they did

They copy the full message thread into ChatGPT and ask it to "Write a professional response. Be empathetic, but firm. Follow my shop policies. Do not admit fault" when the issue is outside their control. They use it for late-shipping complaints, cancellation requests, refund requests, damaged items (asking for photos and order details) and review threats. During one long dispute they also pasted in their product description and asked what disclaimers to add to their policy section.

How it went

They say every customer gets the same calm tone whatever kind of day they're having. In the dispute shown, they chose to refund before shipping; the buyer became polite and bought another lamp. "I do have Chat GPT help me with all of my customer service now."

Worth knowing

  • "Don't blindly copy and paste everything AI writes. Always read it." It may not know your exact policies or what happened unless you tell it. They call it "a tool. It is not a replacement for judgment."

Try it yourself

Here's my whole conversation with a customer and my shop policies. Write a professional reply: empathetic but firm, follow my policies, don't admit fault for things outside my control, and keep it under 120 words. Then tell me if anything in my reply could make things worse.
