10 minutes instead of 30–45 minutes of call prep; 2–3 hours saved on review prep
TL;DR
What did u/witty__bitty use Claude scheduled tasks for?
A customer success manager set up Claude scheduled tasks that build a pre-call brief for each meeting, log notes and draft follow-up emails after calls, and rank their accounts every Monday. Nothing goes out to customers without their review. They read each brief in about 10 minutes instead of preparing by hand, and the management review brief saves them hours. Every change is linked in Slack so they can check and edit it, and they send all emails themselves.
What they did
Each morning, a scheduled task builds a brief for every customer call on their calendar. It pulls recent company news, Vitally health score and NPS, the last three touchpoint notes, open Intercom tickets and Mixpanel usage, then writes talking points and questions, and posts the brief to Slack. After the last meeting, another task takes the Zoom AI summary, writes meeting minutes, logs notes and updates fields in HubSpot and Vitally, creates follow-up tasks, logs feature requests and leaves a Gmail draft. Every Monday it scores their accounts for churn risk and upgrade potential and lists which ones to focus on. On days with a management review, it builds an executive brief.
How it went
They read each brief in about 10 minutes instead of preparing by hand, and the management review brief saves them hours. Every change is linked in Slack so they can check and edit it, and they send all emails themselves.
"The brief posts to my Slack so I can read it in 10 minutes instead of spending 30–45 minutes on manual prep."

Worth knowing
- They said the briefs pulled some irrelevant information at first and got better as they refined which data to pull in. They also said it uses a lot of Claude usage. Another commenter in the thread said their scheduled tasks don't run on time. This uses work tools connected through their company setup.

Before my call with [customer], pull together a one-page brief: their latest support tickets, product usage trend, last three meeting notes and any recent company news. Then give me three talking points and three questions to ask. Mark anything you couldn't find instead of filling it in.
